This Privacy Policy outlines the principles of processing and protecting personal data collected from users when using our website www.nordin.pl
This Privacy Policy applies to the processing of personal data that we collect when you visit our website, use our mobile application, when we provide recruitment services, temporary work, or outsourcing services for you, as well as to the processing of personal data of individuals working for companies with which we cooperate or intend to cooperate.
Your privacy and the security of your personal data are important to NORDIN Poland and other companies within the NORDIN Group. We are responsible for ensuring that all personal data entrusted to us is processed in accordance with applicable data protection regulations.
This Policy explains who we are, for what purposes we may use your personal data, how we process it, to whom we may disclose it, where it may be transferred or accessed from, as well as what rights you have.


 
NORDIN (hereinafter referred to as "we", "us" or "NORDIN Consulting") will process your personal data in accordance with this Privacy Policy (such personal data are sometimes also referred to as "information").
Unless otherwise specified below, NORDIN  is the data controller of personal data ("controller" within the meaning of applicable data protection regulations).
For the efficient operation and management of activities, companies within the NORDIN Group may jointly determine the purposes and methods of processing personal data in some cases (joint controllers).

 
Utilization of Innovative HR Technologies for Candidate and Service Matching
Our primary goal is to support individuals and organizations in realizing their true potential. We believe that the best way to achieve this goal is by combining our passion for people with the power of modern HR technologies. By HR technologies, we mean technologies that help us digitalize and streamline various recruitment processes.
For example, we use chatbots to enhance your candidate experience. Chatbots allow candidates to respond to questions based on the job requirements they are applying for. This provides candidates with a user-friendly way to:

  • Provide us with relevant information that may not be clearly visible in the application, profile, or CV.

  • Obtain quick feedback on whether their skills meet the basic requirements of the position, and if not, easily find other positions or determine gaps in their skill set.

  • Provide responses at a convenient time for the user.

As part of a broader recruitment process, HR technologies allow us to connect candidates with our consultants more quickly. This, in turn, enables our consultants to better support candidates in their job search and deliver suitable candidates to our clients more quickly. HR technologies also enable our consultants to find people not only based on the positions they qualify for but also based on the positions they are interested in.
Improving Customer Experience
HR technologies help us search a wider and more diverse pool of candidates, making us even better at finding the best candidates with the most appropriate skill set for our clients. Thanks to these technologies, our consultants can focus on tasks that require typically human traits, which technology cannot mimic: creativity and emotions.
Network Signaling
Our email messages may contain a single, campaign-specific "web beacon pixel" that informs us whether our email messages are being opened and verifies clicks leading to links or advertisements in the email message. We may use this information for purposes such as determining which of our email messages are more interesting to users, obtaining information about whether users who do not open our email messages still want to receive them, and informing our advertisers about how many users in total clicked on their advertisements. The pixel will be removed after the email message is deleted. If you do not want the pixel to be downloaded to your device, you must select the option to receive email messages from us in plain text, not HTML.
We regularly test the output data created using these technologies to identify potential cases of harmful bias. We regularly seek expert advice to continuously improve how we identify and eliminate bias. Both our consultants and our search and matching algorithms undergo detailed training and always work together.

 
To other entities within the NORDIN group of companies. We are part of a temporary employment agency association and sometimes may share personal data with other affiliated temporary employment agencies to efficiently manage operations, ensure compliance with legal and regulatory requirements, and provide our Services (including matching) to you and our clients. To NORDIN clients. Within the scope of our services, including recruitment and provision of temporary employment. To external entities providing human resources services (e.g., payroll service providers). To external IT service providers (e.g., we use the services of an external provider to support our IT infrastructure. A significant part of our software and databases is located in the cloud, which is operated by an external service provider). To external marketing service providers (e.g., we may store your personal data in a cloud-based CRM application hosted and operated by an external service provider; when we use the services of an external provider to organize an event, we may share your personal data with this third-party website to invite you to the event). To professional service providers (e.g., our auditors, tax advisors, legal advisors). To banks and insurers (e.g., for the payment of wages to our temporary workers, we share part of their personal data with the bank). To pension funds. To public authorities (e.g., under applicable law, NORDIN must disclose personal data to the social insurance institution and tax authorities). To law enforcement, courts, and regulatory authorities (e.g., as part of a police investigation, law enforcement agencies may require us to disclose personal data).
We may also disclose your personal data to third parties:
in the event that we sell or buy any business or assets, we may disclose your personal data to a potential seller or buyer of such business or assets; or if all or substantially all of our assets are acquired by a third party, your personal data that we hold may be one of the transferred assets.
When we disclose your personal data as described above, it may be transferred both within the European Economic Area (EEA) and outside it. If we transfer your personal data abroad, we will do so only in accordance with applicable law and will require an appropriate level of protection for your personal data and appropriate security measures. Your personal data may be transferred from countries within the EEA to countries outside the EEA (such as the United States). In such cases, we will require compliance with the following safeguards:

We implement technical and organizational security measures to protect your personal data against accidental loss, misuse, alteration, destruction, disclosure, or unauthorized access. We limit access to your personal data to those entities that have a genuine business need to know them. Entities processing your personal data are subject to NORDIN's information security and IT security principles, data protection policies, and other internal regulations and guidelines regarding the processing of personal data.
While we have implemented measures to protect your personal data, it is important to be aware that data security cannot be guaranteed one hundred percent. Therefore, we have implemented procedures for handling data security incidents and to meet requirements.

 
You have the following rights regarding your personal data:

Right to information - You have the right to clear, transparent, and easily understandable information about how we use your personal data and what rights you have. Therefore, we provide you with the information contained in this document.

Right of access - You have the right to access your personal data that we store. This is because we want to inform you about the existence of your personal data held by us and allow you to check if we process your personal data in accordance with applicable data protection laws and regulations.
3.
Right to rectification - If your personal data is inaccurate or incomplete, you have the right to request the correction of your personal data.
4.
Right to erasure - Also known as the "right to be forgotten," this right allows you to request the deletion or removal of your personal data if there is no compelling reason for us to retain it. The right to erasure is not an absolute right; there are exceptions.
5.
Right to restriction of processing - You have the right to "block" or stop further use of your personal data in certain circumstances. When processing is restricted, we may still store your personal data but may not further use it. We maintain lists of individuals who have requested the "blocking" of further use of their personal data to ensure compliance in the future.

Right to data portability - In certain circumstances, you have the right to obtain and reuse your personal data in a structured, commonly used, and machine-readable format. Additionally, under specific conditions, you have the right to transmit such personal data directly to a third party.

Right to object to processing - You have the right to object to certain types of processing in certain circumstances. In particular, you have the right to object to the processing of your personal data based on our legitimate interests or for public interest purposes; the right to object to processing for direct marketing purposes (including profiling); the right to object to the use of your personal data for scientific, historical, or statistical research purposes in certain cases.

Right to withdraw consent - If we process your personal data based on your consent, you have the right to withdraw that consent at any time. This includes your right to withdraw consent for us to use your personal data in the context of voluntary employee surveys.

Right to object to automated decision-making - You have the right not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects concerning you or similarly significantly affects you.
Automated decision-making occurs when an electronic system uses personal data to make decisions without human involvement. This is not a general right to object; there are exceptions. For example, we may use automated decision-making when necessary for the performance of a contract with you, and there are adequate safeguards in place to protect your rights.

We will consider your request with particular care to ensure the effective enforcement of your rights.
We may ask you to confirm your identity to ensure that we do not disclose your personal data to anyone other than you! You should be aware that in certain cases (e.g., due to legal requirements), we may not be able to fulfill your request immediately.
In any case, we will inform you of the actions taken within one month of receiving your request.
You have the right to lodge a complaint with the supervisory authority for data protection: the Office for Personal Data Protection, ul. Stawki 2, 00-193 Warsaw, www.uodo.gov.pl.
